Partner Project Policies

Every MadeByKidz partnership is unique. These guidelines explain our general approach to custom design, production, payment, approvals, delivery, and intellectual property. Project-specific requirements will be documented in a written proposal or agreement before work begins.

Project Scope and Timing

We can create anything from a single prototype or display piece to a larger production run. Pricing is based on the design time, materials, complexity, and quantity required.

Project timing varies according to complexity and quantity. After reviewing the project, we will provide a proposed schedule before work begins.

Pilot orders may be available for partners who want to evaluate a product before committing to a larger production run. Availability and pricing will depend on the design complexity, prototype requirements, materials, and proposed quantity.

Design, Prototypes, and Approval

Depending on the project, we may provide digital design previews, physical prototypes, or both for review and approval before final production.

Each project includes an agreed-upon number of revisions during the design and approval process. Additional revisions, or changes requested after final approval, may require an additional fee. Any added cost will be discussed and approved before further work begins.

Pricing, Payments, and Cancellations

Design fees and deposits are determined by the size and complexity of each project. Simple concepts may not require a separate design fee, while more involved custom development may require one. Design fees may be reduced or waived for qualifying production quantities.

Payment schedules will be defined in each project proposal. A deposit may be required before design or production begins, with milestone payments used for larger projects when appropriate. Unless other written terms have been approved, the remaining balance must be paid in full before an order is shipped or released for local pickup.

Cancellation terms will be included in each project proposal. Projects cancelled before the stated deadline may qualify for a full or partial refund, less any design work, materials, or other costs already incurred. Once design or production has begun—or after the stated deadline—applicable fees and deposits become nonrefundable.

Wholesale, Packaging, and Reorders

Wholesale pricing is available for products intended for resale. Pricing, minimum quantities when applicable, and suggested retail pricing will be determined according to the product, customization requirements, and order quantity.

Custom packaging, branded labels, display materials, and QR-code experiences may be available for qualifying production quantities. Availability and pricing will be evaluated according to the scope and quantity of each order.

Approved products may be reordered for future restocks or additional locations. We will make every effort to maintain the original design and appearance, although material colors and availability may occasionally change. Any necessary substitutions will be discussed before production.

Shipping, Pickup, and Order Inspection

Completed partner orders can be shipped nationwide or arranged for local pickup. Shipping costs and delivery options will be included in the project proposal.

Partners should inspect their order promptly upon delivery or pickup. We will repair, replace, or reprint items when a confirmed defect resulted from our design or production process.

Shipping damage will be handled through the applicable carrier’s claims process, and we will assist when appropriate. Damage reported after the order has been inspected and accepted may not qualify for replacement.

Intellectual Property and Exclusive Designs

Unless otherwise stated in a written agreement, MadeByKidz retains ownership of its original 3D design files, production files, processes, and methods. Partners receive the rights specifically granted in their project agreement and ownership of the finished products they purchase.

Partners may request an exclusive design created specifically for their organization. The scope, duration, permitted uses, and cost of exclusivity will be defined in the project agreement before design work begins.

Partners are responsible for confirming that they own or have permission to use any logos, trademarks, characters, photographs, artwork, or other protected material provided for a project. We may request written confirmation of those rights before design or production begins.

Confidentiality and Promotional Use

Unreleased partner projects will be treated as confidential. When appropriate, MadeByKidz is willing to review and sign a reasonable nondisclosure agreement before confidential project information is shared.

MadeByKidz may request permission to photograph or feature completed work in its portfolio, website, social media, or other promotional materials. Partner names, logos, and project details will not be used publicly without authorization.

Product Use and Safety

Products will be reviewed according to their intended audience and intended use. Appropriate age recommendations, care instructions, and relevant safety information will be provided when needed.

Partners are responsible for using, displaying, and selling products in accordance with the instructions and intended uses communicated by MadeByKidz.

Changes to This Policy

We may update this Partner Project Policy from time to time as our business grows and our website evolves.

Any changes will be posted on this page along with an updated Effective Date.
